Artificial Intelligence is not a side tool at AI with Renew — helping businesses adopt AI well is our work. We use AI daily in our own operations and in the services we provide, and we hold ourselves to the same standard we recommend to every client: AI amplifies human expertise; it does not replace human judgment, review, or accountability.
We also know that trust, transparency, and responsible use are what make AI adoption succeed. This policy explains how we use AI, the safeguards we maintain, and the shared responsibilities that apply when AI is part of our engagement with you.
1. Purpose of This Policy
The purpose of this policy is to provide clarity and transparency regarding our use of Artificial Intelligence ("AI") in connection with our services. We believe open communication is essential to building trust and ensuring that AI is used in a way that aligns with our company's mission, ethical standards, and the needs of our clients.
2. Our Approach to AI Use
AI is integrated into our workflows as a standard business tool. Depending on the nature of the engagement, AI may be used to synthesize research, identify trends, generate insights, and support strategic recommendations; to draft, optimize, and analyze content; to generate visual concepts and creative variations; and to support analysis, reporting, and campaign optimization.
Our approach is guided by the following principles:
- Transparency. We are open about how AI may be used in connection with client deliverables.
- Human Oversight. AI-assisted work is reviewed, refined, and directed by our human team before it reaches you.
- Client Alignment. We use AI in ways that are consistent with client goals, brand values, and contractual requirements.
- Responsible Innovation. We balance creative and operational efficiency with legal, ethical, and regulatory considerations.
Because we practice what we implement — our own business runs on the same AI-driven systems we help clients build — this policy reflects standards we apply to ourselves first.
Unless otherwise agreed in writing, clients acknowledge that AI tools may be used as part of our standard service delivery.
3. Client Consent and Collaboration
We recognize that clients may have differing levels of comfort with AI. Clients may request additional information at any time regarding how AI is used in connection with their services. AI may be used unless the client provides written objection or restrictions. Objections or restrictions that result in additional labor or expenses may result in an increase in our service fees.
Where required by contract or mutually agreed upon, the scope or nature of AI use will be documented in writing. Clients must identify categories of materials that cannot be used as inputs for AI tools, and we will comply with such documented restrictions.
Clients are encouraged to raise questions or concerns so that expectations can be aligned early and clearly.
4. Use of Client Materials in AI Systems
Protecting client confidentiality, data, and intellectual property is a top priority. We adhere to the following standards:
- We do not intentionally input client confidential information, trade secrets, or proprietary materials into AI systems in a manner that would violate contractual obligations or applicable law.
- We will not input client confidential information into publicly available AI tools that use such data for training purposes.
- We apply industry-standard security practices, internal controls, and vetting procedures when selecting and using AI platforms.
- Where AI tools are used to process or analyze client materials, such use is limited to what is reasonably necessary to perform the agreed-upon services.
Clients are responsible for ensuring that materials they provide do not infringe third-party rights and are lawful and authorized for use.
5. AI Platforms
We use a range of commercially available and internally configured AI tools, which evolve over time. We evaluate tools based on functionality, security, reliability, and alignment with our operational standards. The categories of AI we most commonly use include:
- Language models — research synthesis, analysis, drafting, and editing support
- Image generation — visual concepts and creative assets, subject to human screening
- Analytics and optimization — performance analysis, reporting, and campaign optimization support
- Agent-based workflow systems — internally configured AI systems that support service delivery under human direction and review

6. Ownership of AI-Assisted Work Product
Copyright and intellectual property rights relating to AI-assisted content are evolving and may vary based on jurisdiction, facts, and contractual terms. Ownership of deliverables, including those created with the assistance of AI, is governed by your applicable client agreement.
Specifically, to the extent permitted by law, we retain ownership of underlying tools, prompts, methodologies, and pre-existing materials. Otherwise, all deliverables provided to the client, including AI-assisted outputs, are assigned to the client to the extent set forth in the governing agreement.
To the extent AI output is not independently protectable, the value of the work lies in the human-directed creative process, including selection, arrangement, modification, and integration, the ownership of which is governed by our governing services agreement.
7. Responsible and Ethical Use of AI
We are committed to responsible, lawful, and ethical use of AI technologies — a commitment that flows directly from the values our firm is built on. Accordingly:
- AI will not be used to intentionally generate misleading, deceptive, unlawful, or discriminatory content.
- AI will not be used to create unauthorized deepfakes, impersonations, or content that violates privacy, publicity, or intellectual property rights.
- All AI-assisted outputs are subject to human review prior to use or delivery.
- If AI-assisted content is identified as inaccurate, biased, or inappropriate, it will be corrected or excluded.
- AI-generated or AI-assisted content will be disclosed to clients and/or end users where required by law or agreed upon contractually.
8. Compliance with Laws and Regulations
We monitor and adapt our practices to meet industry-standard levels of compliance and diligence, including but not limited to compliance with:
- Federal Trade Commission (FTC) advertising and endorsement guidelines
- U.S. intellectual property laws
- Data privacy laws (e.g., CCPA/CPRA) and, where applicable, GDPR
- Additional applicable regulatory frameworks that may apply depending on the client's industry (provided such compliance has been dictated by our client)
NOTE: While we conduct reasonable diligence, we are not a law firm and cannot guarantee compliance. We require our clients to obtain all final applicable legal review of work product, including work product that has been AI-generated.
9. Policy Updates
AI technologies and applicable laws continue to evolve rapidly. This policy may be updated from time to time to reflect changes in technology, regulation, or industry best practices. We will make reasonable efforts to notify clients of material changes that may impact our use of AI.
